Useful Tips and Tricks when Navigating Between The Four SAP Business One Business Partner Modes

There is no doubt that SAP Business One takes a sizeable chunk of the competition to dominate the ERP space. That is a position that SAP is sure to maintain for a long time owing to the key partnerships that the company has been striking in recent times. Have you heard about the SAP/Microsoft partnership? If your organization’s processes are managed through SAP B1, you may be interacting with business partner data — customers and vendors — more often than not. What are some of the tips and tricks you can explore to ease your experience? Keep reading these tips by a self-taught SAP Business One Consultant (Eugin Chasia).

SAP B1 Business Partner Modes

The four Business Partners modes are:

· Find Mode

· Add Mode

· View Mode

· Update Mode

Find Mode — Press CTRL + F to activate this mode

Used when you want to locate a vendor or customer.

You can tell that you are in the find mode when you see all the cells highlighted YELLOW as shown in the image.

One thing that most people do not know about the Find mode is that you can use any of the cells highlighted in yellow to get the business partner. For instance, if you only remember their email address, you can search using that in the respective field. You can even search the BP by typing a few characters of their name. No need to type in the entire name!

***Please note that the Business Partner menu opens by default in this mode.***

Add Mode — Press CTRL + A to activate this mode

The Add Mode is used when creating a new business partner master record.

Press CTRL + A to activate this mode.

You can tell that you are in the Add Mode when you see the cells colour change to WHITE.

Always strive to complete the partner details to the most minute specifics.

Not everybody in the organization has access to the Add Mode. That is subject to authorizations done by your SAP B1 Administrator.

When creating this record, remember to select the correct designation — Customer, Vendor, or Lead. Depending on the numbering series set in the Document Settings by your SAP Business One implementation consultant, customers typically start with “C”, vendors with “V” and Leads with “L”.

Update Mode

Used when you want to update an existing record.

There is no specific shortcut to activating this mode. Instead, it becomes active after making edits to the existing record.

Click on the UPDATE button at the bottom of the screen.

View Mode

As the name suggests, the mode is simply for viewing an existing record.

When you open the business partner record and do not perform any action to it, you are in the View Mode. You do not need to do anything here.
